Applicants for this jobs must be able to do the following tasks:Assists office staff in maintaining files and databasesPrepares reports, presentations, memorandums, proposals and correspondenceAssigns jobs and duties to office staff as neededMonitors office operationsSchedules appointments and meetings for executives and upper level staffServes as the go-to for office inquiries and conflictsManages staff schedulesTracks office supply inventory and approves supply ordersAssists in the preparation of department budgets and expensesSupervises all administrative personnelRespond to telephone, email, walk-in and website contact form inquiries from existing community members, prospective residents, management, vendors and other constituentsPurchase and sends order for clients as required by officeHandle minor financial transactions for the office, such as collecting payments and deposits, issuing receipts and purchasing needed suppliesMaintain resident and other office files while practicing company-wide file retention policiesCollect, process and distribute incoming mail as well as compose and send correspondence for other office staffHandle client complaints, maintenance requests and other concerns according to company proceduresAssist management and other staff to ensure compliance with applicable federal, state and local lawsMaintain clean environment by cleaning office and equipents properly.
