Cypress services includes Consumer and Corporate Leases and Rentals, Logistics and Fleet Management, and Portfolio Management.We are recruiting to fill the position below:Job Title: Admin OfficerLocation: LagosJob DescriptionReceive Visitors:Greet visitors appropriatelyDetermine visitors needs in a professional mannerMaintain visitor registerOffer refreshments to visitors where appropriateDirect visitors to contact person/appropriate meeting roomEnsure backup when absent from reception tableAbility to maintain composure with difficult consumers. Must remain professional at all timesAnswer Phone Calls:Answer phone calls in a timely and polite mannerDetermine purpose of the callDeal with visitors queries and provide correct informationAttracts potential customers by answering product and service questions; suggesting information about other products and services.Manage Mail:Reply electronic mail and sort all paper mails accordingly.Prepare outgoing mail for pick up or courierOrganise courier deliveriesPerform live chat and email correspondence with customers.Resolves product or service problems by clarifying the customer's complaint; determining the cause of the problem; selecting and explaining the best solution to solve the problem; expediting correction or adjustment; following up to ensure resolution.Monitor Security:Monitor people coming & going through the reception doorsIssue visitor passes where appropriateBe aware of & report suspicious activity.Supervision:Supervise the office janitor’s/cleaner’s activitiesEnsure the offices are kept cleanSupervise the office vehicles - cleaning, fueling, service schedules and renewals.Organise Meetings:Book meeting roomInform participantsSet up meeting with necessary refreshments & equipmentOrganise catering for meetingSecretarial Support:Prepare correspondence & documentsOrganise mailingsSchedule & follow up on appointmentsMaintains customer records by updating account information.Reception Area Maintenance:Keep reception area clear & neatMaintain & organise reading material
