Vacancy for Executive Assistant to the CEO at Laplace Technologies Limited

Overview:•         Provide high quality professional, personal and administrative assistance to the President/CEO and in support of the wider operations team.•         Carry out regular business review, analyze and interpret industry data for executive use. The post holder will work closely with:•         The Board, President/CEO, Executive Management Team;•         Heads of Departments, Project Managers, Staff across the Group, ICT, Finance and HR;•         Corporate Organizations with whom the Company maintains business & corporate relationsJob Scope:•         First point of contact for the President/CEO.•         Personal Assistance; acting on behalf of and representing the President/CEO.•         Generation of management reports summarizing business performance for use by executives, managers and other stakeholders for business decisions.Main Duties & Key Responsibilities•         Act as the initial point of contact for the President/CEO in his absence, assessing priorities and re-directing calls, enquiries and requests as necessary.•         Manage the CEO’s diary and appointments, ensuring effective use of time and preparation of papers and information in advance.•         Prepare and/or draft business correspondence for the CEO, as required.•         Perform evaluations, analysis and present reports that will help the company to remain competitive in the business market. Improve upon existing processes and create new models for business dealings.•         Oversee coordination and collation of quarterly financial reports for Board and Management meetings•         Carry out a range of administrative tasks, including sending mails, managing electronic and paper based filing systems, and making travel arrangements.•         Work co-operatively with colleagues in the Administrative and Operations Units providing support and cover as required.•         Organize internal and external meetings and teleconferences, including booking venues, arranging accommodation and taking minutes as required.•         Make arrangements for and prepare agendas for Board meetings, Management and Operations meetings.•         Ensure departmental deadlines are met for corporate activities.
