The Office Assistance would have an ear to the ground and be aware of everything that’s going on in the organisation, from knowing which important meetings will be taking place to co-ordinating deliveries and organising travel arrangements for staff. You’ll also often be the first person that employees and potential clients see, so you’re always representing the company. Would also serve visitors by greeting, welcoming, and directing them appropriately; notifies company personnel of visitor arrival; maintains security and telecommunications system.

Receptionist Job Duties:

Attend to visitors and deal with inquiries on the phone and face to face.
Supply information regarding the organization to the general public, clients and customers.
Schedule appointments
Welcome visitors by greeting them, in person or on the telephone; answering or referring inquiries.
Directs visitors by maintaining employee and department directories; giving instructions.
Maintains security by following procedures; monitoring logbook; issuing visitor badges.
Maintains telecommunication system by following manufacturer’s instructions for house phone and console operation.
Maintains safe and clean reception area by complying with procedures, rules, and regulations.
Maintains continuity among work teams by documenting and communicating actions, irregularities, and continuing needs.
Contributes to team effort by accomplishing related results as needed.

Requirements

Telephone Skills, Verbal Communication, Microsoft Office Skills, Listening, Professionalism, Customer Focus, Organization, Informing Others, Handles Pressure, Phone Skills, Supply Management.
At least a HND/BACHELOR’S DEGREE in any field. Any other qualification would be of added advantage.
