Our associated company, Vesta Healthcare Partners UK Limited was established in London, in 2008. We are recruiting to fill the position below:Job Title: Office AdministratorLocation: Victoria Island, LagosMain ResponsibilitiesFront Office Receptionist:Meet and Greet VisitorsAnswer and Direct Incoming CallsPlace Outbound Calls for StaffDistribute Incoming MailDespatch Outgoing MailHandle all DeliveriesOffice Administration:Organise Project Team business travel including documentation, visas, accommodation and appointmentsProcess claims for travel expenses incurred by the Project TeamMaintain and monitor financial records relating to travel expenditureArrange and supervise provision of refreshments for guestsManage, monitor and order inventory and office suppliesFile and retrieve documentsBind documents and presentationsMake photocopiesSend and receive faxesLine Management of Support Staff (Cleaner, Drivers, Security)Manage calendars of senior team membersUpdate company websiteOffice Accounts and Book Keeping:Prepare, submit and manage monthly Office BudgetRetire, submit and file monthly Office Budget accountsLiaise with and submit Monthly accounts to Lagos AccountantPrepare and issue Invoices for Project FeesPrepare and issue Payment Vouchers for paymentsIssue Receipts on behalf of Vesta on invoice paymentManagement of the central register for Debtors and CreditorsFacility Management:Ensure smooth running and impeccable appearance of Vesta officeResponsible for continual functioning of business and IT systemsMaintain office filing and storage systemsGuarantee environmental, health and safety standardsAscertain uninterrupted functioning of office utilities (Water, Electricity, Internet, Telecoms, etc)Manage smooth running of Generators, Inverter, Borehole, etcManage small company car fleetProject Administration & Support:Assist Project Associates, Analysts and Managers in project workUndertake project work administrative tasksPlan and organise project functions including booking venues, equipment, etcOrganise meetings and teleconferences for Project TeamPrepare presentations for Project Team using Word, PowerPoint and ExcelEssential Behaviour / Skill Requirements:Professional presence and appearanceExcellent interpersonal skillsExcellent planning and organisational skillsAbility to multi-task and work under pressureExcellent attention to detailAbility to use initiative and work aloneCommitment and flexibility to get a job doneMotivated and DrivenTakes ownership of personal development
