Our mission is to provide aid as quickly and as efficiently as possible to endangered populations by meeting their vital needs: drinking water, food and shelter.We are recruiting to fill the position of:Job Title: Logistic Administrative Assistant Location: Dikwa, Borno Responsibilities and TasksTeam managementTrain and support team members under his or her supervisionEnsure the minimal replacement of members of the admin/log services in case of absenceAssist in the recruitment processPrepare shift planning for watchmenReporting / Communication:Participate in supervision of regulations in effectSupport his/her line-manager in relations with local administrative authoritiesActivities related to AdministrationAdministrative management of personnel:Follow-up of visa and air ticket of expatriate team and apply on time for extensionOrganize national and international travelsWelcome and participate in administrative briefing of new personnelAssist the administrator for the administrative management of recruitment and hiringParticipate in the organization of trainingCollect payment details and integrate them into the Human resources management  softwareIssue pay slips and supervise payment of salaries after approval by the administratorAssist the administrative in the organization and conduct of meetings with personnel representativesTreasury / Accounting / Management:Supervise the physical maintenance and safety of cash boxesParticipate in the consolidation of budget follow ups and cash forecasts at the base levelMonitor due dates for payments of contracts managed by the administrative coordinatorCarry out pay-outs and advances, within established guidelinesRecord budgetary transfers and keep accounting codes Guarantee security of the cash and confidentiality of informationGuarantee security of the cash and confidentiality of informationActivities related to Logistics:Management of suppliesUpdate price lists and supplier databases , negotiate prices, deadlines and methods of deliveryControl Solidarités International purchase proceduresVerify and process quote requests and IOFsPrepare and archive purchase foldersImplement purchases, monitoring adherence to validation regulations and proceduresOrganize and supervise all logistic aspects and documentation for good/supplies transport: way-bills, packing lists, final delivery/distribution recordsManagement of Vehicle Fleet:Assist in the planning and execution of service work on vehiclesOrganize the weekly movement of vehiclesEnsure that a tool box and emergency kit are available on board all vehicles and ensure drivers check the kit is always completeManagement of Equipment/Telecommunications:Assist in installing and securing materialsAssist in monitoring and maintaining materialsAssist in the planning and execution of service work on generators/motor pumpsOrganize training sessions in the use of means of communicationManagement and Monitoring of IT Equipment:Update antivirus softwareProvide teams with adequate means for data backupEnsure the maintenance and correct use of IT equipmentManagement of Stock:Supervise the maintenance and securing of warehousesCarry out regular stock checks and physical inventoriesEnsure/Supervise the basic maintenance of premises (office and guesthouse)
